A HVAC request form is required. To request form contact Violet Wilder, either email vwilder@santarosa.edu or phone (527-4231).
Special Events Set-Up: Requests for special events set-up must be submitted on a Service Request Form and must be received by the Facilities Operations Office at least three days before the event is to take place. Care should be taken to provide precise information regarding the set-up, including exact location, diagram, exact number of tables, chairs, etc., date and time of event, date and time event is over, and special requirements. Note that while setup and takedown is done by the Custodial staff, delivery and pickup of chairs and tables is done by the Warehouse. Therefore, two services requests are usually necessary – one for delivery and pickup of tables/chairs (for the Warehouse staff) and one for setup and takedown (for the Custodial staff).
Vehicle Requests: Use of District vehicles is granted only upon completion of a written request (see Request For Use of Santa Rosa Junior College Vehicle form) which must be approved by the Department Chair or supervisor. Scheduling is on a first-come, first-serve basis. If your plans change and the vehicle is no longer needed, it is imperative that you inform the Facilities Operations Office so that vehicles may be rescheduled. Keys, trip cards, and credit cards are obtained in the Facilities Operations office. Note: Anyone planning to use a district vehicle must first have driver clearance through the District Police Office. This requires completion of a Drivers Clearance Card (obtained from District Police), which is then submitted to DMV. Upon DMV clearance, District Police will then initial and forward the clearance to Facilities Operations for vehicle use records. Be aware that it can take several weeks to complete this process through DMV.

The following guidelines
will allow the Copy Center and Graphics Services to serve you well
and as quickly as possible:
Turnaround Time: Allow a minimum
of one working day for routine copy work. Allow extra time for delivery
service.
Large Orders or Special Handling: Large orders or jobs
requiring
special handling will take longer to complete. Check with Copy
Center staff for an estimate.
Plan Ahead: Turn in your class readers to be sold at the Bookstore directly at Copy Center soon as possible; don’t
wait until the last minute. The Copy Center becomes very busy near
the beginning of a semester.
Original Copies: Bring clean,
copy-ready originals; use black pen, ink, or dark type on your originals
(copies-of-copies,
blue ink,
and dark color originals, such as red, do not copy well). Originals should
have 1/2" margins on all sides.
Obey the Copyright Laws:
Generally, material bearing a current copyright requires the
publisher’s written approval to copy (See summary
of copyright laws in the Faculty Handbook).
Work Order Forms:
Fill out the Printing Work Order form for all jobs, including
self-service copying. The budget code must be
complete. Where the form states “deliver to,” specify
one of the fifteen delivery points on the Graphic Services route
where you want your completed work to be delivered or held (ex:
Bailey Hall Mail Room). Where the form states “authorized
by,” spell
out the full name of the person who is authorized for printing,
(program directors, department chairs, all instructors and administrative
assistants – those with budget responsibility. Note any special requirement
of the job and the total number of copies desired. Forms are
available at the Copy Center, Graphics Services, and at the Bailey
Hall Mail
Room.

questions and give reference assistance whenever the library
is open. See the Reference Desk phone number above for both Plover
and Mahoney libraries.
Literature Searches: The library has access
to many on-line informational databases. Contact a reference
librarian to initiate a search.
Periodical and Newspaper Indexes:
The library subscribes to a number if indexes in print and in computer
formats. All of the
indexes
are located in the reference area of the library. Some computerized
indexes include Infotrac, Proquest, and the National Newspaper
Index. Computerized indexes can also be accessed through the library
web site at www.santarosa.edu/library.
List of Periodicals: The
library has an alphabetical list of all journals to which it subscribes.
The library also has a list of
journals subscribed to by member libraries in the North Bay Cooperative
Library System which can be located and borrowed.
Instructional
Materials Acquisition
Ordering Books and Periodicals: The faculty is encouraged to make
recommendations for improving the library’s collection. To
make a recommendation, obtain a Book Request Form from the library.
Book requests received from faculty are given high priority. Books
and periodicals can be ordered for office, classroom, and lab usage.
Contact your department chair about this process.
Borrowing Books
and Periodicals: In order to borrow books from the library, please
bring your faculty or staff identification
card with you. (To obtain a card, see listing for Identification
Card.) Reference books are not generally loaned. Periodicals
are to be used in the library.
Copy Machines: If you need a copy
of an article, the library has copiers. To use these machines,
you must pay for the copies
or
use the library vendacard and have your department reimburse
the cost.
Inter-library Loan: Materials not available in the library can
be requested from other libraries throughout the nation. Place
your request with a librarian and allow at least 10 days to receive
the material requested. If you or your students wish to borrow
books from the Charles and Jean Schultz Center at Sonoma State
University, you may obtain a library card for $2.00. Take proof
of your faculty status with you.
Reserve Desk
What can be placed on Reserve?
Items that can be put on Reserve include, but are not limited to,
books from the library collection, textbooks (either instructor’s
personal copies or those ordered through the library), as well
as photocopied excerpts from books or periodicals, lecture notes,
old exams, and examples of research papers. Reserve materials are
generally in high demand and are circulated for short periods to
allow access by many students.
What are the loan periods available?
Two hour – Library Use Only
Four hour – can be taken out of the library
One day – due 24 hours from time checked out
Three day – due 72 hours from time checked out
The person placing the material on Reserve decides the loan period.
However, photocopied material generally has the 2 hour Library
Use Only loan period. If a text comes with a CD-Rom, it will be kept with the book and therefore have the same loan period as the text.
How is material placed on Reserve?
Check in the library OPAC to see if the book is in the library
collection or bring your own copy to place on Reserve. (Note: your
personal copy will be returned to you when withdrawn from Reserve.
The library is not responsible for the replacement of personal
copies that are damaged, lost, or stolen.) Books that are not in
the collection can be ordered by contacting either the Acquisitions
Department, 527-4553, or the Reserve Desk, 527- 4758. Please allow
a three-day lead time for the library to process personal copies
or items purchased from the bookstore. If a book is not in the
bookstore and needs to be ordered through a publisher, it could
take 2 or 3 months to acquire it. The library cannot purchase “answer-key” type
books.
The library does not make photocopies. The instructor placing
the material on Reserve is required to make the copies beforehand.
CD-ROMs can be placed on Reserve. However, the library does not
have the equipment to support them, so a one or three day loan
period is required.
What are the Reserve copyright guidelines?
The Reserve Department can place photocopied materials on Reserve
for one semester only without copyright permission. At the end
of the semester the material will be removed from Reserve unless
copyright permission has been received from the instructor placing
the item on Reserve. (Examples of letters requesting permission
are available from Reserve.) Chapters of books and articles from
newspapers and/or magazines can be placed on Reserve. The Reserve
Department will monitor the length of materials to insure they
do not constitute a major portion of a work. The “notice
of copyright” stamp must be placed on the first page of each
copy along with full bibliographic information. Each item placed
on Reserve can have one copy only. Class “readers” cannot be placed on Reserve due to copyright restrictions.
What is required
of students & staff to use the Reserve Desk?
A valid SRJC I.D. card along with the call number of the item requested.
Library

Circulation of Materials and Equipment
Delivery Requests: Delivery
requests can be made in person, by phone, or in writing. Requests
should be placed at least a day
in advance. If a student will be authorized to pick up or deliver
materials, Media Services must be notified by the instructor.
On-campus delivery and pick up is usually performed by student
workers on an hourly basis ten minutes before class starting
time.
Video Equipment: Over 125 rooms
contain complete video set-up. If yours doesn’t, you will
need to obtain one from Media Services. Due to security problems,
video players, video cameras,
and TV monitors will not be delivered. These must be picked up
and returned at Media Services by faculty or a designee. To ensure
equipment availability, advance reservations are strongly recommended.
Available Media: Media Services has a collection of over
7500 titles, ( includes VHS tapes, DVD's and 16 mm films) which are available for checkout to instructors.
A catalog of media titles and descriptions is online and available
at Media Services . Generally, media may be checked out for 24 hours during the busy months
of the semester. If more time is needed, please inform Media Services. Explore the online media catalog online.
Student Use of Media Materials: Students
may view or listen to media in the library as arranged for specific
class assignments
or by the special request of their instructors. Students may check
out compact discs and audio cassettes. There are over 1300 CDs
in the collection. The Circulation counter will also duplicate
instructional audio tapes for students. Instructors may reserve
audio cassettes of lectures for their students to obtain a copy
on their own blank cassette tapes (non-copyrighted materials only,
please). Students may not check out films or video tapes. An instructor
can authorize students to do research or extra credit viewing.
In order to view a video, the student must know the exact title
to be viewed, the instructor’s name, and the course number.
Video tapes have a limited life; it is preferred that only “make-up” viewing
be allowed. There are 11 carrels in the Library where students
may view assigned media. Viewing for entertainment is not allowed.
Viewing
Rooms: The Media Services Circulation desk also handles
the scheduling of one presentation room and two conference rooms
in the Plover Library. Room reservations can be made up to four
months in advance by faculty or staff.
Production of Instructional
Materials
Media Services Production: Production
includes the video taping of lectures, on-campus events, and in-house
studio productions.
The departmental supply
budget
will be charged for supplies and materials. Check with your
department to determine if approvals are necessary. Please
allow at least
5 days for audio/visual duplication, and 10 days advance notice
for lecture taping requests.
Photo and Presentation Graphics
Production: A wide variety of photographic and graphic
services is provided to enhance class presentations, including
35 mm slide production/duplication,
development of slide
synchronized presentations and programs designed for use with slide dissolve
systems. Completion time for work orders is 7-21 days. Please allow adequate
time for your request to be completed.
“Off Air”/“Off Sat” Video
Taping: Instructors
may request “off-air” video taping directly from television.
These requests should be received at least 24 hours in advance.
After the program has been taped, the instructor may pick it up
from Media Services. It may be used once in each class for 10 days,
and then can be held for 35 more calendar days for review on a
departmental level for purchase. Following this period, the tape
must be returned to Media Services for erasure (if no purchase
will occur) or Media Services will hold the video while researching
purchase information.
Acquisition of Audio Visual Materials
and Equipment
Media: Media titles are selected
by instructors with departmental approval. If two or more departments
preview
materials and then
decide upon purchase, the cost is divided among the departments
and Media Services. When collection funds are used, the purchase
order for media materials must be processed by Media Services
and the media materials are housed in one of the College Libraries.
If departments plan to house media materials at their department,
funds would come from the department budget and would be processed
with their own purchase order.
Maintenance, Repair, and Installation
of Equipment
Equipment Maintenance, Repair and Installation: The
technical staff of Media Services are responsible for the proper
operation
of media
equipment. If a malfunction occurs during class, phone for
immediate assistance. Media Technicians are also available to
train faculty
in the operation of media equipment for a specific room configuration.
Equipment: Media Services works with departments to specify types of equipment
needed, outlining parameters and assisting
during
the capital equipment budget cycle. After funds are approved
Media Services coordinates all details related to acquisition
and installation
of the equipment. |
