Guidelines for Placing Materials on Reserve in the SRJC Libraries

Why Reserves?

If you would like all or most of the students in your class to read the same materials, it's a good idea to place the materials on reserve for the semester during which your class is taught. Reserve items are placed in a closed stack area and are given shorter check-out periods so that everyone in your class gets a chance to use them.

What Can I Put on Reserve?

Almost anything you'd like your students to read or use can be placed on reserve. The reserve collection includes books (library books as well as instructors' own books), pamphlets, CD-ROMS, excerpts from books and photocopies of articles (within the the current copyright guidelines), lecture notes, copies of past exams, answer keys and sample student research papers. Even boxes of rocks have been placed on reserve for Geology classes.

Headphones are available at the Doyle Library Reserve Desk and the Mahoney Library Circulation Desk for use with class-related CDs and web pages.

How Long Can Reserve Items Be Checked Out?

You determine the loan period when you place an item on reserve for your class. There are four options:
  • Two hour   (Library use only)
  • Four hour   (May be taken out of the library)
  • One day   (Due in 24 hours)
  • Three day   (Due in 72 hours)
Photocopied materials generally have a 2-hour Library Use Only loan period.

If you would like, you may also put copies of non-copyrighted documents such as personal papers and old exams on your own class web page so that your students can access them during times when the library is not open. These documents will be viewable by anyone who has access to the World Wide Web.

How Do I Place an Item on Reserve?

If you'd like to place an item on reserve, we need your cooperation in the following ways:
  1. Check the library catalog to see if the book is in our library collections. If so, bring it to the fourth floor Reserve Desk in the Doyle Library (Santa Rosa campus) or to the Circulation Desk in the Mahoney Library (Petaluma campus), and completely fill out the top portion of the "On Reserve" form for each separate title.
  2. You may order books that are not in our collection by contacting either our Acquisitions Department at ext. 4553 or one of our Reserve Desks (Doyle Library - ext. 4758; Mahoney Library - ext. 3974) or by using the online Book Purchase Request Form. Please keep in mind that books which are not in the College book store may not arrive in time for use during the current semester. Please place book orders as early as possible so that the materials will arrive in time for the start of your class. The library cannot purchase "answer-key" type books.
  3. Please allow a three day lead time for our Reserve Department to process reserve materials. Additional time is necessary if the book must be ordered from the publisher (This could take 2-3 months.) or if it is a personal copy that must be cataloged.
  4. The library does not make photocopies for reserve.
  5. If you wish to place personal copies of books or articles on reserve, bring your personal copies to the Reserve Desk and fill out the top portion of the "On Reserve" form. Your personal copy will be returned to you when it is removed from Reserve status. Note that the Library is not responsible for the replacement of personal copies that are lost, stolen, delinquent or damaged by students.

Communicating With Your Students

When you tell students that items have been placed on reserve for your class, please:
  • Don't assume that any materials are on reserve unless YOU placed them on reserve this semester. If in doubt, check the library catalog or call the Reserve Desk, ext. 4758, to verify their status before telling students that the items are on reserve. Students' time is generally very limited, and they become understandably frustrated when they make a special trip to campus only to discover that something you've told them is in the library is not there.
  • Give students the correct citation (author and title) for the items. If possible, include a book's call number on your reading list or handout so that each student individually doesn't have to look up the number.
  • Please inform students that they must bring their current student IDs with them to the library in order to use reserve items.

Thanks for your help in making the Reserve collection work for all your students. If you have any questions, feel free to contact theDoyle Library (Santa Rosa) Reserve Desk at ext. 4758 or the Mahoney Library (Petaluma) Circulation Desk at ext. 3974.
