Multifunction Printer Matrix

IT recommends the following multifunction printers for use at SRJC. These devices are intended to be a shared resource. All of these devices have the the following capabilities including the ones from the matrix below:

• USB and network printing
• USB Scanning
• Copying

Definition of Terms

• Scan to E-Mail: After scanning from the device, it will send a pdf attachment to your e-mail address.
• Secure Print: Before printing, users can enter in a code at their computers. The printer will not print out the job until the same code has been entered in at the printer.
• Duty Cycle: The amount of pages a printer can print per month.

Price Ranges

Exact prices are not listed as prices are subject to change and vary depending on the vendor we use. Instead, ranges of prices are offered. IT will obtain quotes for your department before ordering. Prices do not include warranties.

• $ - Up to $500
• $$ - Between $500 and $1000
• $$$ - Between $1000 and $2000
• $$$$ - Between $2000 and $5000
• $$$$$ - $5000 and up

SRJC Printing Purchasing Policy

• IT will no longer offer DeskJet / Officejet installs or purchases (except plotters), regardless of need or funding source.
• IT will purchase HP LaserJet multifunction printers (printer, scanner, copier) to satisfy future office printer and/or scanner requests.
• To satisfy printing privacy needs previously addressed with the use of a personal Deskjet printer, some of the multifunction printers are offered with "secure print" - the ability to add a PIN code to your print job so that it will only print out when the PIN code is entered at the printer.
• Duplexing will also be optionally available. Collating or stapling capability will not be offered, as larger copiers handled through the Purchasing Department will cover these needs.
• Black and white multifunction printers (with color scanning capability) are recommended. Low or high volume options will be determined by department size and will require dean and/or manager approval.
• Requests for color multifunction printers will be throughly reviewed before approval. IT recommends that most color printing needs be routed through the SRJC Copy Center. If localized color printing is required, low or high volume options will be determined by department size and will require VP approval to justify added toner and maintenance costs.
• In general, when a printer is requested for a department, IT will perform a review of current printers in the department as a whole and recommend a shared multifunction printer to replace all personal Deskjets in the department.
