File Depot for Sharing Large Files

As we begin the new semester, the email administrators would like to communicate our recommendation for sharing large files via email.

Recommendation: For files larger than 200K we recommend using File Depot, a file sharing utility of SRJC. Using File Depot will reduce the stress on our email server while also being considerate of limited email inbox capacities of our colleagues.

This utility is versatile, available to all staff and faculty for sharing files with colleagues, clients, and students.

Simply login with your Outlook credentials at http://www.santarosa.edu/file-depot

More help and information for using File Depot at http://www.santarosa.edu/file-depot/help.php

Should you have any questions, please contact me directly or call the Help Desk at x1765.

Happy file sharing!

Contacting the Help Desk via Telephone

Hello SRJC Community,

Please make note that the SRJC IT Help Desk phone number is 707-524-1765 (if you are calling from a non-SRJC telephone.) If you are calling from an SRJC phone, you can simply dial 1765. This has been the help desk phone number for approximately the last 15 years.

IMPORTANT: Please DO NOT dial 527-1765. 527-1765 belongs to the home business of a community member who has filed a complaint with the IT Department. Faculty/Staff have been inadvertently dialing that number trying to reach the help desk. We appreciate your attention to this important matter.

HP 3000 Shut Down coming soon

The SRJC migrated our student information systems and financial and purchasing systems off of the HP 3000 computer over the last 3 to 5 years. It is now time to retire the HP 3000 as it is older than many of our students.

IT would like to announce that the legacy HP3000 is scheduled to be retired at the end of this month, August 31, 2012. If you have been accessing the HP3000 to obtain historical data, all historical data prior to 2008 has been archived to our new server. In addition, this will include the retirement of the HP 3000 line printer. Therefore, IT will no longer be able to print labels after August 31. Label printing will be the responsibility of each department. If you need access to specific historical data prior to 2008 or need instructions on how to print labels, please send a request through our IT Help Desk. If you have any questions or concerns regarding the retirement of the HP 3000 and the HP 3000 line printer, please contact Don Webb at dwebb@santarosa.edu or Tony Sawyer at tsawyer@santarosa.edu.

News about the SRJC libraries

The District is implementing a change in how public computers will be accessed in the SRJC Libraries. Library users will need to sign in with a Santa Rosa Junior College ID and Personal Information Number (PIN) to access library resources. Users will sign in at the beginning of every computer session and end each session by restarting the computer when finished to protect account privacy.

Members of the community who wish to use SRJC library computers may apply for a Community User Account. With this account, community users are given one hour of computer access each day.

More About This Project

Why is the District making this change? Responding to a request by Associated Students for improved access to library resources, the District has taken this step to ensure students have access to library materials and resources. Community access is being preserved, but on a limited basis.

When will the authentication system be implemented? The authentication system is being implemented in a phased approach at both College libraries over the summer months. It will be in place and fully operational in the fall 2012 semester.

Does this access system apply to everyone? Yes. All library public access computers will require use of a Santa Rosa Junior College ID and Personal Information Number for use. Alumni members, Gold Card users, and Sonoma State University students may login to the computers just like any currently enrolled student. They will be directed to a public service desk for initial assistance in establishing their access. All SRJC employees will also need to sign in with their SID and PIN to use the public workstations.

How will library users learn about this change? Information is being disseminated to library users in several ways. Physical signage is being placed at the computer workstations as the system is being implemented, and information handouts will be distributed throughout the libraries and at student welcome tables at the beginning of the fall semester. The library is actively using its social media channels and website to alert students to the upcoming change, and in the fall all students will receive notification of the login requirement via the Student Cubby system.

What other computer options are available to non-registered students? Free wireless Internet access remains available to all users who have their own laptop, PDA, smartphone or other wireless device at both SRJC libraries. In addition, the Sonoma County Public Libraries offer public Internet computers that may be used for one hour each day at any regional library to registered Sonoma County Public Library members.

Can full-time students who are between registration sessions still access library computers? Yes. SRJC student accounts can be activated upon request by library staff at any public service desk.

What happens at other California community college libraries? Over half of California community college libraries limit library computer access to registered students. These policies are motivated by the same desire to improve available access to library resources by the student population.

Distance Education web server going off-line for maintenance

Student, faculty, staff, and administrators:

The Distance Education web server -- online.santarosa.edu, sometimes referred to as CATE -- will be off-line for important maintenance and upgrade work all day on Monday, 13 August 2012.

That means CATE, Moodle, and all other resources and files hosted on the server will be entirely inaccessible until that work is completed.

All users -- students, faculty, staff, and administrators -- should expect the server to be completely unavailable for the entire day, and should plan accordingly.

Thanks for your patience while we perform these important tasks.

IT Software Lending Process

Dear District Community,

IT is happy to announce a change in our software lending process. Software checkout for home installations has now been integrated into our online checkout system. Permanent and adjunct faculty and permanent classified staff who wish to check out select Microsoft software for home installation can easily submit an online request and pick up software at the Help Desk. STNCs, Student Workers, and Students are unfortunately not included in this program.

Please note that the software checkout program only includes Microsoft Office Software and Operating Systems. If you have a request for a different software package from Microsoft, check with the help desk by emailing help@santarosa.edu and we will let you know if our license allows us to lend your requested software. Under no circumstances are we able to lend Adobe Software. Our Adobe license does not include or allow home or personal machine installation.

This same online checkout system allows you to reserve equipment; Windows and Macintosh laptops and Apple iPads can be borrowed for up to 2 weeks. Both equipment and software pick ups/returns will happen at one location, the Help Desk. We hope this will make for a more unified process.

Please visit our pages listed below to see the guidelines and provisions for lending, and make reservations. We respectfully request that all software checkout requests be placed online; please do not email or call the help desk to request software. Additionally, please wait until the help desk acknowledges your software checkout request with an email from the checkout system stating that your software is “waiting for pickup” before visiting the help desk. The help desk is located in 1434 Bussman Hall, Santa Rosa Campus. If you work on another campus, we will make arrangements to get the software to you.

Software checkout: http://www.santarosa.edu/it/checkout/software

Equipment checkout: http://www.santarosa.edu/it/checkout/equipment

If you currently have software out on loan, please return it to the Help Desk at 1434 Bussman Hall.

We look forward to improving our efficiency in serving you through this new streamlined process.

Early morning (After midnight) web services testing

SRJC Community:

The Information Technology department will be performing load and stress tests on the SRJC main site and the SIS servers Friday thru Sunday in early morning hours (after midnight). While we are not anticipating any disruption in services, our web users may experience slow response time with our web servers. These tests are part of our continual effort to provide a smooth Online Student Registration experience to our students. Please contact (707) 974-5163 if you notice any disruption in service during these early hours.

We apologize for the inconvenience.

Systems Update: brief 5-minute interruption in web services today, between 2 PM and 5 PM

SRJC Community,

The Information Technology department will be performing a critical system update on the SRJC web services today Tuesday, July 10th between 12:00 PM and 5:00 PM. This unplanned update will cause our main web site to go down sometime between 2:00 PM and 5:00 PM for 5 minutes during the server reboot. In addition, employees that are updating the web site will be disconnected during the update. Please be advised that additional systems may also be impacted due to some interdependencies.

This update is part of our effort to provide a smoother Online Student Registration experience.
