Vehicle Requests

The District owns a fleet of vehicles consisting of the following:

  • 1 flatbed truck

  • 1 cargo van

  • 1 pick-up truck

  • 1 8-passenger van

  • 5 12-passenger vans

  • 1 4-passenger car

Requirements to drive a District vehicle:

Use of District vehicles is granted only upon completion of the Vehicle Request form, (see below to print a request form),signed by department chairperson and driver clearance granted by District Police.

To obtain Drivers Clearance you must fill out the Drivers Clearance Card (available from the Facilities Operations Office) and have it signed by the department chair.

Turn in the completed Drivers Clearance Card to District Police. District Police will then request a copy of your public driving record and use that to determine clearance.

Upon clearance, the copy of your DMV public driving record will be forwarded to Facilities Operations to be kept on file. Drivers will be automatically re-cleared annually until Facilities is notified otherwise.

An employee can at any time exercise the right to withdraw from the clearance process.

Priority use of District vehicles is as follows:

1. Class field trips

2. Meetings, conferences, business trips

3. Athletic events

Vehicles are scheduled by date received (first come first served). All requests are scheduled a semester at a time. ie: for Fall all requests will be scheduled at the beginning of each semester

Pick Up & Drop Off:

All vehicles are to be picked up and dropped off at the Facilities Operations yard.

If you are leaving your personal vehicle in our yard, please park your vehicle in the carport of the District vehicle you are taking. DO NOT park your personal vehicle in the maintenance yard.

Please be sure to pick up and drop off vehicles at the time scheduled. Not doing so may result in other users not being able to leave when requested.

Reminder: On Monday mornings the vehicles are safety checked and are not available for use until after 12:00 noon.

Rules for the Road

If you encounter a vehicle problem while the vehicle is in use (ie: repair or flat tire) the policy is that the driver is responsible for obtaining a tow service, all fees will be reimbursed with presentation of receipts.

IMPERATIVE:

Cancel reservations when or if your plans change and the vehicle you requested is no longer needed. A waiting list is kept in the Facilities Operations Department and canceled vehicle reservations are rescheduled in accordance with the priority list. If it becomes apparent that a vehicle will not be returned on time, the requester must contact Facilities Operations ( 527-4231) for an extension of time. Vehicles must be returned at the scheduled return time (or extension time) as they may have been scheduled for back-to-back use.
